You Can't Govern What You Can't See: How AI Spend Visibility Works

The first version of any serious AI governance program looks the same regardless of organization size: someone opens a spreadsheet and starts manually pulling numbers from vendor invoices.

It works for about two weeks. Then a new vendor gets added. Then a model gets updated. Then the person who built the spreadsheet goes on leave. And suddenly nobody knows what the organization is spending on AI — not in aggregate, and certainly not per team, per user, or per vendor.

Per-seat detail, not per-account totals. A vendor invoice tells you what the organization spent. It doesn't tell you which of your 200 licensed users consumed 80% of that budget while 140 others barely touched their allocation. The unit of governance is the seat, not the account.

Cost vs. capacity per seat. What you're paying for the plan tier versus what the seat's actual consumption would cost. The gap between those two numbers is recoverable budget — money you're spending that generates no incremental value.

Real-time, not end-of-month. By the time a monthly invoice arrives, the overspend has already happened. Visibility that matters is visibility that lets you act before the billing cycle closes.
